AI automation for owner-led businesses · 5–50 staff · North Jersey & NYC metro

Practical AI for your business. Fixed prices, your data stays yours, you own everything we build.

GainSolutions finds the repetitive admin inside owner-led businesses in North Jersey and replaces it with automations you own — audited, built, and maintained by a professional software engineer, not a tool reseller.

No pitch. We'll look at one workflow together and tell you honestly whether it's worth automating.

Where owner-led businesses lose hours

The same five workflows show up in practices, property businesses, and distributors alike. Most of their steps don’t need a person’s judgment — they get one anyway.

  • Inbox triage and quote requests

Requests arrive by email as PDFs, photos of forms, and half-filled spreadsheets. Someone reads each one, re-types it, and writes back asking for what's missing.

  • Scheduling, confirmations, and reminders

Appointments, showings, and site visits get booked by email back-and-forth, then confirmed and re-confirmed by hand.

  • Invoice chasing and billing follow-up

Unpaid invoices sit until someone remembers. The reminder goes out late, or not at all, and the owner ends up chasing it personally.

  • Data re-entry between tools

The same client, order, or lease gets typed into practice software, then QuickBooks, then a spreadsheet — by hand, three times, with three chances for a typo.

  • Follow-ups that never happen

Document requests, onboarding steps, and "I'll circle back" promises live in someone's head. When that person is busy, they don't happen.

What we do, and what it costs

Four fixed-price services. Most businesses start with the audit; if you already know what you want built, start with a build.

How we work

Four steps, no surprises. Every step ends with something written that you keep.

  1. 2 weeks

    Audit

We map how work actually moves through your business, interview the people doing it, and rank every repetitive task by payoff, effort, and risk. You get a written plan.

From you: About two hours a week from one point person.

  2. Fixed-price proposal

    Plan

Every recommended build comes with a fixed price, a written scope, and a timeline. The plan is yours: use it with us, with another vendor, or with your own team.

  3. 2–6 weeks, weekly demos

    Build

We build in accounts you own, show you working software every week, and keep a person in the loop wherever the cost of a mistake is real.

From you: A short weekly demo and a review during the final parallel-run week.

  4. Optional, month-to-month

    Operate

After handover you can run it yourself, or keep us on a monthly retainer for monitoring, fixes, and improvements. Cancel any month.

What happens after you book

  1. You pick a 20-minute slot and answer six short questions, so the call is about your business, not ours.
  2. On the call we look at one workflow together and tell you honestly whether it's worth automating — and roughly what it would cost.
  3. Afterwards you get a short written summary and, if it makes sense, a fixed-price proposal. No follow-up sequence, no pressure.

Why an engineer, not a tool reseller

Mike Guarino, founder of GainSolutions

Mike Guarino — founder, and the engineer who does the work.

I’ve spent five years as a software engineer building production systems for a large enterprise software company, and I use AI tooling every day to ship faster. GainSolutions is me applying that to owner-led businesses in North Jersey: find the repetitive work, automate it properly, and hand you something you own. I’ll tell you when AI won’t help.

  • I'll tell you when AI won't help.
  • You own every line and every account.
  • No hype, no jargon.

No client logos or results here — we don’t have any we could show honestly yet, and we won’t invent them. Here is what an audit finding looks like, written for a fictional firm so you can judge the format and the reasoning.

Full pricing and what changes it

Who this is for — and who it isn’t

A good fit

  • Owner-led, roughly 5–50 staff, in northern New Jersey or the NYC metro
  • Professional practices: law, accounting and bookkeeping, insurance agencies, dental, medical, and veterinary practices
  • Property management and real estate: managers, landlords with a portfolio, brokerages and teams
  • B2B distributors, light manufacturing, and logistics
  • A steady volume of repetitive intake, quoting, scheduling, document collection, follow-up, invoicing, or re-keying between tools
  • The owner or general manager is on the call and can make the decision

Not a fit

  • You want a chatbot on the website and nothing about the process to change
  • Nobody on your side can give about two hours a week during an audit or build
  • You expect AI to replace a role wholesale next month
  • Enterprise procurement: security questionnaires, 90-day payment terms, contracts we can't negotiate
  • Workflows that need HIPAA- or GLBA-grade handling, outbound AI messaging to consumers, or decisions about hiring, credit, or housing — we'll tell you on the call if yours does

Your data, your accounts, your code

What the AI sees

Only the fields a workflow needs — an email, a form, a document — never your whole system. Every prompt and data path is written down in the handover.

Where your data lives

In your own accounts, in US data-center regions by default. We hold access while we work; you hold the keys.

No training on your data

The model providers we use offer business terms under which data sent through their APIs is not used to train their models. We never use one client's data for another.

You own it

Code, prompts, accounts, API keys, and data are yours on full payment. If we part ways, you get a handover document and we delete our copies.

Questions owners ask first

  • Is my business data safe? What does the AI actually see, and where does it go?

Only what a workflow needs. An automation that reads quote requests sees the quote request — not your whole inbox, not your accounting system — and every data path is written down in the handover. Anything we host runs in your own cloud accounts, in US data-center regions by default. For the AI itself we use established model providers, such as OpenAI and Anthropic, through their business APIs, whose terms state that data sent through the API is not used to train their models. We never use one client's data for another, and we ask for the least access that gets the job done.

    Read the security page

  • Will this replace my staff?

It removes tasks, not people. What we automate is the re-typing, the chasing, the sorting — the parts of a job nobody was hired for. The judgment stays with your team: wherever an error would cost money or trust, the automation drafts and a person approves. If a project only makes sense as a way to cut a role next month, we'll say we're not the right fit.

  • What does it really cost, including ongoing fees?

Package prices are published: the audit is $750–$1,500 one-time, automation builds are $1,200–$5,000+, websites are $1,800–$5,500 depending on tier, and the retainer is $500–$1,500 a month. Beyond that there are third-party costs we don't mark up and you pay directly: AI model usage, billed per use by the provider; hosting; and any tools you already subscribe to. Every proposal estimates them before you sign. There are no setup fees, license fees, or per-seat charges from us.

  • What exactly do I get from the AI Workflow Audit?

A current-state map of the workflows we reviewed; a ranked list of every repetitive task scored by payoff, effort, and risk; a plain-English call on each — automate now, later, or leave alone; fixed-price proposals for the top items; and a readout with you. The report is written so any vendor or in-house developer could act on it.

    See an illustrative excerpt

  • How long does it take, and how much of my time will it need?

The audit takes two weeks and needs about two hours a week from one point person, plus short interviews with the people who do the work. Builds take two to six weeks; you attend a short weekly demo and review results during the final parallel-run week. Websites take three to six weeks, with one review round per stage. Nobody on your side needs to write code or learn a new tool.

  • What happens if the automation breaks or the AI gets something wrong?

Three layers. Design: wherever an error would cost money or trust, the automation drafts and a person approves — nothing goes out on its own. Monitoring: every build alerts a person when a step fails, and the runbook says what to do; the old manual path still works. Support: every build includes a written post-launch fix window for anything within scope, and the month-to-month retainer covers monitoring, fixes, and changes after that.
